Administrative Coordinator

Reports to: Principal, Senior Project Manager
Compensation: $32.50/hr. 25 hour full-time workweek. 2 Weeks Vacation. Extended benefits after 3 months probation.

We are seeking an Administrative Coordinator with a background in the commercial construction industry-- mechanical, HVAC, DDC, and any relevant trades. Start date is as soon as possible.
 

We value work life balance above all else, and our workplace operates on a 5-hour workday; a full-time role is 25 hours per week. This position has both a flexible work day and a hybrid work model. The Administrative Coordinator will work remotely, but must live in the Lower Mainland for meetings.
 

Duties will include:
 

  • Data entry

  • Managing project estimation calendars

  • Corresponding with clients, contractors, and consultants

  • Updating, improving upon, and managing CRM processes

  • Liaising between in-office and construction site team members

  • Updating and managing company website, LinkedIn, and social media platforms

  • Transitioning paper-based office systems to digital as office becomes remote

  • Creating and implementing office Wiki

  • Audit existing organizational systems, and bring forward new, more efficient ones


The ideal candidate will:

  • Live in the Lower Mainland

  • Speak native or bilingual fluent English

  • Hold a Class 5 driver’s license and own their own vehicle

  • Have minimum 2 years’ experience in the construction industry (mechanical, HVAC, DDC, and any relevant.)

  • Have minimum 2 years’ experience in administration, office management, executive assistance, etc.

  • Be comfortable with Dropbox, Microsoft Word, Excel, PowerPoint, Outlook, Teams, Sharepoint, Quickbooks.

  • Have a high degree of initiative


Role description:
 

The Administrative Coordinator (AC) will be working directly with the Principal, who currently oversees office operations. Once comfortable and confident in the role, the AC will begin supporting the Senior Project Manager as well.
